The University currently has 24,447 students, enrolled in 268 academic programs, contained within 80 buildings. Including non-academic departments the University has roughly 300 total departments. Within these departments we estimate there are at a minimum 300 multi-functioning device copiers (MFDs or each an MFD). University is seeking an experienced Contractor to evaluate and assist University in identifying and reducing the overall costs and improving efficiencies associated with MFD leases and purchases, including supplies and service. Selected Contractor must be independent and have no association either directly or through another entity or individual with selling, leasing, or servicing MFD equipment. Universitys current MFD purchasing is decentralized, with each University department purchasing, leasing, or renting MFDs from a variety of vendors using a variety of contracts. The University is seeking to determine the most streamlined, consistent, cost effective MFD program solution for the entire University. As part of this determination, the University is seeking to determine if there is substantial value in transitioning from the current decentralized MFD environment to a centralized fleet MFD managed system. The resulting agreement from this RFQ for fleet copier consulting services, will allow participation by other Oregon University System (OUS) institutions. Other OUS institutions wishing to utilize the products, services and rates on same terms and conditions as offered to University will execute its own agreement (purchase order or purchase instrument) for its requirements with the successful Contractor. The other OUS institutions utilizing this option will be individually responsible for their obligations pursuant to their separate agreements. Likewise, the successful Contractor will be separately responsible to the other OUS institutions pursuant to those separate agreements. Any such separate agreements with other OUS institutions will not impact the successful Contractors obligations to University. University makes no representation or guarantee as to volume of such additional participation or purchases by other OUS institutions. Scope of Work: The anticipated scope of work under this RFQ is organized into six phases as further described below. The responders shall quote each phase separately. Responders can submit only one quote per phase. University anticipates awarding a contract for all six phases of this scope of work. University, however, reserves the right to award phases separately as needed or terminate the awarded contract at the end of any one of the six phases. Phase 1 Assessment and Recommendation. The cost of Phase 1 is on a flat fee basis. The term of contract for services delivered in Phase 1 shall not exceed three (3) months.
